When you contact us to register your interest in myspecialevent services to organise your event by email, online form, post or telephone your details will be automatically stored electronically or manually on our company database. A personal one to one meeting will be set up with the client and myspecialevent to outline any requirements needed for the event and any for of payment will be discussed at this point. No bank details will be held by myspecialevent unless the clients have provided consent for this to be done and any monies which have been given to us to pay suppliers and companies on your behalf will be done in line with the clients contract and a receipt will be given to the client for any payment made to myspecialevent or relevant parties.

This information is necessary to complete your contract with us and you have the option to opt- out of this information being stored by myspecialevent at any time.

Please note that this list is only applicable to your use of our services either through our website or in person. • Companies/Suppliers involved in the planning of the client’s event
• Companies or legal establishments who need the clients information for authorisation of an event or it is a legal requirement needed for the event which is being planned for the client

International Transfer (especially for Overseas Events – Weddings/Hen & Stag parties)

Where information is transferred outside of the EEA, we ensure that appropriate safeguards are in place to protect your information to the same or an equivalent level as would be found in UK and EU data protection legislation. The safeguards we use are:

Retention

Clients data will be held for 12 months or until the event is finalised and held on behalf of the client (whichever is the sooner). Some information may be on file for longer if organisation of an event is longer than 12 months. All clients will be made aware of this and have the option to opt-in or out at any time.
